Event Privacy Notice
This notice explains how Asia Climate Tech Venture Fair Ltd (“AVF”), together with the sponsors listed on the AVF website, collects, uses, discloses and protects personal data in accordance with Singapore’s Personal Data Protection Act 2012 (“PDPA”), when you register for or participate in one of our conferences or events.
AVF is organized with the support of the sponsors listed on the AVF website. Some sponsors may assist with planning, administering, supporting or following up on the event. Personal data may be shared with those sponsors where reasonably necessary to plan, administer, support and follow up on the event as outlined in this notice.
By registering for or attending one of our events, you consent to the collection, use and disclosure of your personal data for the purposes described in this notice unless otherwise notified to us in writing.
1. Personal data we collect
We may collect personal data that you provide us, that is provided by your organisation, that is provided by an AVF sponsor, or that is generated through your participation in the event. This includes but is not limited to:

name, job title, organisation, business email address, phone number and country/location;

registration and attendance details;

investor, corporate, startup or speaker profile information;

dietary, accessibility or other special requirements, should you require them; and
-
communications with us.
2. How we use personal data
We may use your personal data for purposes that are reasonably connected with the event, including but not limited to:

review expressions of interest and manage invitations for an invite-only event;

register attendees, issue confirmations and manage check-in, badges, access, security and event logistics;

coordinate between AVF sponsors for event planning, administration, attendee management, programming, introductions;

communicate with you about the event and future editions of the event;

facilitate event networking, including attendee lists, introductions and meeting arrangements where relevant;

manage speakers, presenting companies, sponsors, partners and service providers;

respond to questions, feedback, requests or complaints;

improve our website, communications and event experience; and
-
comply with applicable laws, and internal governance obligations.
3. Sharing personal data
We may share personal data where reasonably necessary to organize, support or follow up on the event, including with:

AVF sponsors as listed on the AVF website as it relates to event planning;

our affiliates, employees and representatives involved in organising the event;

event hosts, sponsors, partners, speakers and participating organisations, where relevant to event administration, networking or follow-up;

vendors and service providers, such as venue operators, registration platforms, IT support, analytics providers, photographers, security providers and other professional services providers of the event; and
-
government, regulatory, law enforcement or other parties where required or permitted by law.
We do not sell personal data.
4. Access outside Singapore
Your personal data may be stored, processed or accessed in countries outside Singapore for the purposes of administering, supporting and improving the event. These countries may include locations where our affiliates, event partners, IT systems, cloud providers, registration platforms, email tools or other service providers operate.
Where personal data is transferred outside Singapore, we will take reasonable steps to ensure that the transferred personal data receives a standard of protection comparable to that under the PDPA, including through contractual, organisational and technical safeguards where appropriate.
5. Event photos, video and recordings
Photographs, audio or video recordings may be taken during the event for event records, marketing, publicity and communications, including for publishing on our website, social media, newsletters and partner communications. Please inform event staff if you do not wish to be photographed or recorded in an identifiable way, and we will try to accommodate reasonable requests where feasible.
6. Cookies and website analytics
Our website may use cookies and similar technologies to operate the site, understand usage and improve the event experience. You can manage cookies through your browser settings.
7. Protection and retention
We will make reasonable arrangements to protect personal data in our possession against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks.
We will retain personal data only for as long as reasonably necessary for the purposes described in this notice, for business purposes, or as required by applicable law. When personal data is no longer required, we will cease retention or dispose of it securely.

9. Changes to this notice
We may update this notice from time to time by publishing an updated notice on our website.
